Feeling Behind (And How I'm Fighting Back)

Last week? I managed three late nights of dancing, head-banging to great music, living my best life.

This week? I’m dragging HARD. Wednesday was the first day I felt remotely human, but that nagging voice kept whispering: “you're behind..."

Sound familiar?

Here's the thing—I'm done letting that voice win. Instead, I'm building a system that actually works for my chaotic, creative brain. And I'm sharing it with you because I know I'm not alone in this struggle.

Traditional To-Do Lists Are Failing Us

I'm a serial list-maker. New page, new list, new dream. But here's what I discovered:

  • I'm brilliant at creating monster to-do lists
  • I'm terrible at figuring out what actually needs to happen TODAY
  • I underestimate big projects ("Oh, that'll take 30 minutes!" *It took 3 hours)
  • I overestimate small tasks ("This will eat my whole morning!" *It took 5 minutes)

I’m constantly in a state of overwhelm with that soul crushing "behind" feeling.


So here's exactly how I'm taming the chaos:

Step 1: Brain Dump + Categorize

I capture EVERYTHING in my reminder app (phone + desktop synced) and sort into buckets:

  • My Biz
  • Coaching Clients
  • High-Touch Client A
  • High-Touch Client B
  • Low-Touch Client C
  • Life

A Quick Win for You: Pick just 3-4 categories that make sense for your life. Too many = analysis paralysis.

Step 2: If you can, Schedule it.

Every task gets one of two treatments:

  • Has a deadline? → Gets a date
  • No deadline? → Can you give it one? If not, it stays at the bottom of the category list for “someday” (be honest with yourself here).

Step 3: The Daily Reality Check

Each morning, I look at what's dated for today and assign priorities:

  • 🔴 HIGH - World ends if not done
  • 🟡 MEDIUM - Important but flexible
  • 🟢 LOW - Nice to have

And this is the most important step - I move things to another date that I know will absolutely not get done today. No more wishful thinking.

The Game Changer: I also flag my "FROGS" 🐸 - those big, scary tasks I've been avoiding for more than a day or two. If it’s overdue, it becomes a Frog.

Step 4: Eat That Frog First

Mark Twain said it best:

"If it's your job to eat a frog, it's best to do it first thing in the morning. And if it's your job to eat two frogs, it's best to eat the biggest one first."

Those flagged frogs? They get tackled FIRST. No "quick tasks." Frog first.

Step 5: Batch the Small Stuff

All those tiny tasks? I group them into a "Admin Hour" and knock them out assembly-line style. (Truthfully this step is a work in progress because I run multiple businesses so I have Admin Hour for multiple things - each of my Online Business Clients, my coaching business, and my personal life stuff)

Now go do it: Your 3 Quick Wins This Week

  1. Tomorrow Morning: Write down every nagging task in your head. Don't judge, just dump. Then pick your top 3 must-dos. If it helps to have categories like I do - then do that, but don’t have more than 4.
  2. Find Your Frog: What's the ONE task you've been avoiding? Do it first thing tomorrow. Set a timer for 25 minutes and just start. It probably won’t take you as long as you think it will.
  3. Create Your Adminj Hour: Block one hour this week for all those 5-minute tasks. Batch them and watch them disappear.

Here's what I'm learning about the truth about being behind: That "behind" feeling? It's often just our brain's way of processing a full life.

You're not behind. You're human. You're juggling real responsibilities while trying to actually LIVE.

This system isn't perfect yet. It's messy, it's evolving, and some days I still feel like I'm drowning. But it's helping me move from overwhelm to action, one frog at a time.
